Share player notes with your coaching staff
Updated October 22, 2026
An assistant coach shares player notes with the head coach by putting the whole staff on one plan. On TalentEcho that is the Team plan at $24.99 a month, one plan for your whole coaching staff, so the notes, ratings and boards every coach creates are shared. The assistant dictates, and the head coach sees it on the same board.
The method matters more than the tool. If you want an assistant's observations to reach the head coach reliably, you need one shared place every coach writes into, rather than notes scattered across separate phones, group chats and memory. Below is the approach in plain terms, then how TalentEcho does it, what stays private, and a worked example you can copy.
Hands-free player notes: a coach speaks an observation out loud, and it is transcribed and filed to the right player automatically, without stopping to type. The coach keeps watching the game while the note is captured.
The problem: notes trapped on one phone
Here is the situation most staffs know. The assistant coach spends the half on the far touchline, watching the players the head coach cannot get to, and builds up a clear read on each one. Then the information goes nowhere. It stays in the assistant's own notebook, in a note on the assistant's own phone, or in their head until a conversation that happens two days later when half the detail has faded.
The head coach ends up with a thin version of what the assistant actually saw. A rating with no reasoning behind it. A name with a vague impression attached. When it is time to set the lineup or build the recruiting shortlist, the staff is working from fragments, and the richest observations, the ones made in the moment, are the ones that got lost. The fix is not more meetings. It is one shared board that every coach writes into as the game happens.
How to share notes across a coaching staff
The approach is the same whatever tool you use: get every coach writing into one shared place, agree who covers what, capture in the moment, and review together. On TalentEcho the mechanism for that is the Team plan, which is one plan for your whole coaching staff rather than a single coach. Here is the step by step.
- Choose the Team plan. On the pricing page, pick Team rather than Pro. Pro is for one coach. Team is one plan for your whole staff, so notes, ratings and boards are shared across it. It starts with a 1-month free trial.
- Bring your staff onto the plan. Put the head coach and assistants on the same Team plan, so you are all working inside one shared set of players and boards instead of separate accounts that never see each other's work.
- Agree who dictates what. Before kickoff, split the work. One coach takes the back line, another takes the attack, or one covers a specific game at a showcase. This way notes land under the right player without two coaches writing the same thing.
- Dictate notes in the moment. Each coach speaks observations into TalentEcho on their own iPhone. The note is transcribed on the device and filed to the right player, so nobody looks down to type. See how hands-free player notes work for the capture flow, and the guide on taking notes during training and matches for the rhythm of it.
- Review together on the shared board. Afterward, the head coach opens the same board and reads every assistant's notes and ratings in one place. No exporting, no screenshots, no forwarding. You discuss the shortlist as a staff, looking at the same information.
That is the whole workflow. The shift is from "the assistant tells the head coach later" to "the assistant and the head coach are writing into the same board live." The notes stop being trapped on one phone because there is no longer one phone that owns them.
What stays private
Sharing with your staff should be a choice you make, not the default. On TalentEcho each coach's data is isolated to them, enforced at the database level with row-level security, so by default one coach cannot see another coach's notes. The Team plan is how you deliberately choose to share a set of notes, ratings and boards with your own staff. You are opting in to sharing, not giving up control of your data.
Two more things stay separated. Your recruiting board and your own team roster are kept apart from each other, so a note on a recruit does not bleed into your squad's records. And dictation is transcribed on the iPhone itself. Players must be 13 or older. For the full picture of what is stored and how isolation works, read the privacy and player data page before you add anyone to a plan.
An example workflow
Here is an invented example to make it concrete. The players and club below are fictional.
A college staff is at a weekend showcase. Two games they care about are running at once on fields a few hundred yards apart. The head coach takes the main field to watch a center back they have been tracking, a fictional recruit we will call #3 Alvarez. The assistant coach walks to the far field to cover a midfielder, a fictional #10 Paulo, who they could not otherwise see.
On the main field the head coach watches a switch of play break down and dictates: "Alvarez is tucked too far inside, we're exposed if they switch it quickly." On the far field, at the same minute, the assistant watches Paulo and dictates: "Paulo reads the second ball well, always first to it, needs to pick his head up sooner on the turn." Both notes are transcribed on each coach's iPhone and filed to the right recruit on the same shared board.
By the time the staff sits down for coffee, there is nothing to reconstruct from memory and nothing to forward between phones. The head coach opens the recruiting board and both players are there with the reasoning intact, written in the moment by the coach who actually watched them. Two coaches covered two fields, and the staff ends up with one board. That is what putting the staff on one plan buys you.
Common questions
How can an assistant coach share player notes with the head coach?
Put both coaches on the same TalentEcho Team plan. The Team plan is one plan for your whole coaching staff, so the notes, ratings and boards you create are shared. The assistant dictates an observation on their own iPhone, it is transcribed and filed to the right player, and the head coach sees it on the same board. No exporting, screenshotting or forwarding is needed.
How much does it cost to share notes across a staff?
The Team plan is $24.99 per month or $179.99 per year and covers your whole coaching staff on one plan, with a 1-month free trial. If only one coach needs the app, the Pro plan is $14.99 per month or $99.99 per year for a single coach.
What is the difference between the Pro plan and the Team plan?
Pro is built for a single coach at $14.99 per month or $99.99 per year. Team is built for a whole coaching staff on one plan at $24.99 per month or $179.99 per year, so an assistant's notes and ratings are shared with the head coach. If more than one coach takes notes, the Team plan is the one that shares them. Both include a 1-month free trial.
Can two coaches take notes on the same player at the same time?
Yes. On one Team plan, both coaches dictate to their own iPhones and their notes land under the same player on the shared board. We suggest agreeing who covers which players or which game so you get two angles on a player rather than two copies of the same note.
If we are on a Team plan, can other staff see my recruiting notes?
By default your data is isolated to you, enforced at the database level with row-level security. The Team plan is how you choose to share notes, ratings and boards with your own staff. Your recruiting board and your own team are also kept separate from each other. See the privacy and player data page for the full detail.
Does every coach on the staff need an iPhone?
Yes. TalentEcho is iPhone-only for now, with no Android or web app, so each coach who dictates notes needs an iPhone. The head coach can review the shared board on their own iPhone.
Do we have to export notes to share them?
No. On a Team plan there is nothing to export, screenshot or email. An assistant's dictated note is filed to the player and the head coach opens the same board to read it. That is the point of putting the staff on one plan instead of passing notes between phones.
